Job Description
Seeking a highly talented individual to support the frontback office functions of the company. The duties include assisting departments on ongoing administrative projects, greeting visitors, answering and routing phone calls, and providing support as necessary. We are looking for a friendly, people-oriented, and customer-driven individual. Ability to communicate clearly with co-workers, visitors, and clients. Must be thorough and punctual. Ability to prioritize and work in a highly active environment and have excellent organizational skills. Professional and well-groomed as you are the first impression of the company. Help prepare Quotes and Proposals for new and ongoing projects. Prepare Job Change Orders for projects per the request of a Project Coordinator. Maintain an accurate and up-to-date log of Quotes, Proposals, Change Orders, and Work Orders. Create and distribute Work Order Books for awarded jobs to the companys different departments. Prepare samples for clients per the Project Coordinators request. Keep inventory of steel color samples, such as Galvanized and Metalized Burnished Bronze, Gun Metal, and Antique Coin. Keep contact master lists updated. Maintain and update spreadsheets and Job Binders. Answer and route calls for three respective companies. Greet, screen, and direct visitors andor phone calls to the appropriate person andor department. Keep Lobby supplies stocked i.e. eating utensils, plates, cups, coffee creamer, filters, sugar, etc.. Sort and open the mail and communicate when boxes arrive to the appropriate departmentpersonnel. Ensure the maintenance of the company copier keep toner stocked, paper, etc. as well as call technicians when necessary.
Skills Required
HSGED. 1+ year receptionist or administrative assistant experience or 1+ year of customer service support experience. Intermediate Word, Excel and Outlook. Professional phone etiquette. Strong written and verbal communication. Bilingual SpanishEnglish
