Job Description
The job of an administrative assistant is to assist the attorneys, paralegal, and everyone else in the office with their daily tasks as well as serving clients. The job consists of 4 areas Office maintenance which ensures and upholds a tidy and professional work environment for all employees client services which are the tasks in which you are communicating directly with potential and existing clients to maintain a strong relationship with those the office serves preparing documents for signing in which you ensure that everything is in place and ready for a client to sign and post-signing duties in which you assemble and prepare final versions of all client information to provide for them to keep. We strive to provide an exceptional client experience for our clients and you are their first point of contact. Office opening and closing. Daily inspection of office and touch-up cleaning. Washing dishes, mainly coffee cups upstairs. Attending to coffee maker,making sure it has water and refilling coffee supplies. Shredding of documents. Taking out trash. Taking out recycling. Wipe down counters in client areas and bathrooms. Spot cleaning in office as necessary. Organizing office supplies. Check and refill paper in printers daily. Answering phones. Filling out and mail anniversary, birthday, and holiday cards. Office mailings including USPS packages. Get mail from mail box, processing mail including scanning, e-filing, and delivering. Filing. Printing client bindersportfolios. Westlake conference room reservations. Prepping the office for client signings, wiping down tables, filling essential oil diffuser. Order and pick up of client treats. Receiving clients. Witness signing if necessary. Scanning client bindersportfolios. Assembling funding tool-kits. Assembling KSS folders. Scheduling pickup of client bindersportfolios. Managing client binders for picking updelivery. Opening and closing duties in more detail depending on shift.
Skills Required
2+ yrs of administrative, customer service or reception exp. Friendly with great customer service skills. Proficient in MS Office. Professional handwriting for notes.
